Lab 2 - First steps to optimization

Before we dive into all the specific features of the Webex Suite, we'll need to lay the foundation for customized experiences using locations and groups. Locations organize users and devices by site, while Users and Groups streamline administration and policy management.

Locations

Use case & solution Control Hub > Management > Locations > dCloud
As PixelPals Studios grows, a scalable naming structure in Control Hub ensures efficient administration and easy management of future locations.
  • Give the main location a recognizable name.
Overview > Location Info > Edit (Pencil Icon)

  • Location name: PPS Corporate
Specifying floors within locations will allow admins to easily assign devices, meeting rooms and users within specific areas of their offices. This helps with emergency services settings, troubleshooting and physical space utilization.
  • Create a floor to indicate where the RainbowRacoon game development team works at PPS Corporate.

Floors > Add floor

  • Floor number: 10
  • Floor name: RainbowRaccoon Floor

We'll come back to using floors later!

Users

Use case & solution Control Hub > Management > Users
Pro tip: As a shortcut, use the AI-powered smart search bar at the top of Control Hub to search by the user's name.
As the main contact for contractor accounts, Ricardo Filice needs to manage their access efficiently and securely. For compliance, he should not have access to all organization-wide settings in Control Hub.

Ricardo Filice > Summary > Administrator roles

  • Grant the User and Device admin role
Kellie is a Contractor, but has the same settings as full time employees.

Charles Holland (that’s you!) needs to understand what settings are already applied to an existing user.
  • Explore an existing contractor's user profile.

Kellie Melby

Look at Kellie’s user profile. Don’t make any changes!

Groups

Use case & solution Control Hub > Management > Groups > Webex groups
PixelPals Studios needs to efficiently manage user access and feature settings based on users’ employment type.
  • Create a Group
    • Group Name: PPS Contractor Group
    • Description: Limited workload access for temporary employees
    • Group members: Kellie Melby, Eric Steele, Stefan Mauk
  • Don't click done when you see the high five!

  • Assign group resources
    • Licenses > Set up
      • Messaging: Advanced Messaging
      • Meeting: Webex Assistant for Meetings, Webex Meetings Suite
      • Calling: Webex Calling Professional
  • No need to apply to existing users. They already have these licenses.

Think About It Think about it: Within your company, which admin roles might you use and what Groups might you create?
